Bilingual Secretary Job Description

A Secretary provides essential administrative and clerical support to ensure the smooth operation of an office. This role is often the first point of contact for visitors and clients and plays a key part in maintaining organization and communication across teams.

Key Responsibilities

  • Answer and direct phone calls, emails, and other communications
  • Schedule meetings, appointments, and manage calendars
  • Prepare and edit correspondence, reports, memos, and forms
  • Maintain filing systems and update contact databases
  • Take minutes during meetings and distribute summaries
  • Handle incoming and outgoing mail and packages
  • Order and manage office supplies and inventory
  • Assist in planning and organizing events or travel arrangements
  • Greet visitors and provide general support to clients and staff

Required Skills & Qualifications

  • Proven experience as a secretary or administrative assistant
  • Excellent written and verbal communication skills
  • Fluency in French and English required; knowledge of additional African Union languages is an asset
  • Strong organizational and time-management abilities
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
  • Ability to multitask and prioritize effectively
  • Discretion and professionalism when handling confidential information
  • College diploma required; additional certification or degree in administration is a plus
